Administrators who need to charge a family’s account (e.g. field trip, diapers) or credit a family’s account (e.g. vacation credit) may manually add a transaction. The following article details how to add a charge or credit to an account. Please note, that a custom transaction type is required before you may charge or credit an account. How to Manually Charge an Account
- Select Families from the Navigation menu
- Select Accounts
- Select the Family Account to Charge
- Select BILLING
- Select Activity
- Select +Add button
- Select Charge
- Fill in the required information and optional description
- Select Save
The family will then see the manual charge on their next Itemized Bill. Please see How To Create a Manual Itemized Bill to collect payment on the charge before the next billing invoice.
How to Manually Credit an Account
Occasionally an Administrator may need to manually credit a family’s account such as applying a tuition reduction for vacation credit. The following section details how to manually add a credit to an account. Please note a custom transaction type is required before you may credit an account. See How to Add Transaction Types for additional information.
- Select Families from the Navigation menu
- Select Accounts
- Select the Family Account to Credit
- Select BILLING
- Select Activity
- Select the +Add button
- Select Credit
- Fill in the required information and optional description
- Select Save
