Deposits are money collected and separately documented in a family’s account. The deposit may be held for an individual child or the entire account and can be applied to the family's account at a future date. Deposits are not recognized in the family's overall account balance. The following article provides instructions on creating a bill for a deposit and applying the deposit to a family’s account.

Create a Deposit Transaction Type
- Select Billing from the purple navigation menu
- Select Settings
- Select Transactions
- Select +Add Transaction Type button
- Enter the Name to identify the deposit transaction
- Select the Charge option for the type of transaction
- Select a center(s) to apply the transaction
- Select the Roles with permission to create the transaction. (For more information on Roles and Permissions please read our article Overview of Roles and Permissions)
- Select a GL Code to apply to the transaction if applicable
- Select Save
Add a Deposit Transaction to an Account
- Select Families from the purple navigation menu
- Select Accounts
- Select the Family Account to add a deposit
- Select the Billing tab
- Select the Activity tab
- Select +Add button
- Select Charge

(Optional) Select Child to apply deposit from the drop-down menu
- Selecting a child will apply the deposit to an individual child. Leaving the field blank will apply the deposit to the entire account
- Select the Deposit Charge from the drop-down menu
- Enter the Amount of the Deposit
- Enter an Optional Note
- Select Save
*Please Note: A family will be billed automatically for the deposit transaction on their next Itemized Bill. A Center can choose to send a family a Manual Itemized Bill to charge an account immediately.
Apply Deposit to Account
Once the deposit payment is received the funds will need to be applied to the family's Deposit tab.
- Select Families from the purple navigation menu
- Select Accounts
- Select the Family Account to apply the deposit
- Select Billing tab
- Select Deposits tab
- Select the +Add Deposit Record button
- Enter the Date and Deposit Amount
- Optional to apply to Child and a description
- Select Save
Return Deposit to Account
Once the deposit payment is received the funds will need to be applied to the family's DEPOSIT tab.
- Select Families from the purple navigation menu
- Select Accounts
- Select the Family Account to return the deposit
- Select the Billing tab
- Select the Deposits tab
- Select the Return Deposit button
- Select the checkmark button to return the deposit to the entire account or individual child
- Edit the Deposit amount if applicable
- Enter the optional description text field
- Select Save
